Privacy Policy
Last Updated: April 16, 2026
1. Introduction
Lumshift Inc. ("we," "us," or "our") respects your privacy and is committed to protecting your personal data. This privacy policy explains how we collect, use, and safeguard your information when you visit our website (https://lumshift.com), access our landing pages, or download our resources.
Lumshift is an AI automation agency. We design and deliver workflow automations, custom dashboards and CRMs, RAG (retrieval augmented generation) systems, AI scribing setups for healthcare clinics, and AI audits for businesses across industries. The information collected through this website is limited to professional contact details for the purpose of marketing communications and information about our services. When a paid engagement involves sensitive or regulated data (for example, protected health information in a clinical setting), Lumshift acts strictly as a data processor under the client's documented instructions and any applicable Privacy Impact Assessment.
2. Information We Collect
We collect a limited set of professional contact information when you interact with our website:
Identity Data: First name and last name.
Contact Data: Email address and province.
Professional Data: Specialty or industry, so we can tailor our communications to your context.
Technical Data: IP address, browser type, time zone, operating system, and platform.
Usage Data: How you interact with our website, including pages visited and use of interactive tools (for example, the ROI calculator or interactive assessment).
Communication Preferences: Whether you wish to receive marketing communications from us.
Important: Our marketing forms collect professional contact information only. Any data processed inside a paid client engagement (for example, internal documents indexed in a RAG system, CRM records, audit findings, or clinical content within an AI scribe deployment) is governed by the separate services agreement and instructions for handling data within that engagement. This privacy policy covers our public website only.
3. How We Use Your Information
We use your data to:
Deliver resources you have requested (for example, our AI Scribing Playbook, audit checklists, or product demos).
Evaluate fit for our services (workflow automations, custom dashboards and CRMs, RAG systems, AI scribing, AI audits).
Send you relevant educational content and service updates.
Schedule and manage consultation appointments.
Improve our website and the relevance of our communications.
4. Legal Basis for Processing
We process your personal data based on:
Consent: When you submit your information through our forms, you consent to our use of that data for the purposes described above.
Legitimate Interest: To follow up on your expressed interest in our services and to improve our offerings.
You may withdraw your consent at any time by contacting us at [email protected].
5. Data Storage and Subprocessors
Your website data is processed using the following service providers:
Airtable: Lead management and CRM (servers located in the United States).
Cal.com: Appointment scheduling.
OpenAI and Anthropic: When you submit a prompt to a public Lumshift demo or interactive tool that calls a large language model, the prompt may be processed by OpenAI or Anthropic under their respective enterprise terms. Marketing form submissions are not sent to these providers.
Where your data is stored on servers outside of Canada, we rely on the contractual protections provided by these service providers to safeguard your information.
6. Client Data and Processor Role
When Lumshift builds a system for a client (for example, a RAG knowledge base, a workflow automation, a custom dashboard, a CRM, or an AI scribe configuration), the client retains ownership of all data they provide to that system. Lumshift acts as a processor and uses client data solely on the client's documented instructions, under the terms of the engagement agreement.
This privacy policy applies to data collected by the public Lumshift website and our marketing channels. Data handling within a paid engagement is governed by the engagement contract and any Privacy Impact Assessment, Data Processing Agreement, or equivalent document attached to that engagement.
7. Cookies and Tracking
We use cookies and similar technologies to understand how visitors interact with our website. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some features of our site.

We do not sell, trade, or otherwise transfer your personal information to outside parties for marketing purposes. We may share your data with:
Service providers who assist us in operating our website and delivering our services (subject to confidentiality obligations).
Authorities, where required by law.
9. Data Security
We have implemented appropriate technical and organizational measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed.
10. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected. If you request deletion of your data, we will comply within 30 days.
11. Your Rights
You have the right to:
Access the personal data we hold about you.

We do not control these external websites and are not responsible for their privacy practices. We encourage you to review their privacy policies.
